Before buying a…Copier Machine

There are two different types of copiers on the market. Analogue and Digital. Digital has the benefit over analogue of improved copy reproduction and the ability to also act as your printer when linked to a PC.

What does the Technology Mean?

CPM

The higher the CPM the faster the machine produces copies. Average copies per minutes are based on 5% coverage industry standard business letter.

ADF

Improves job efficiency no need to manually feed each sheet of your document.

RSPF ADF

Makes easy copying of double sided original by re-feeding the sheet back through your copier.

MULTICOPY

The machine will copy a required number of copies of a document/page at any one time. Check machine for individual specification.

ENLARGE/REDUCTION

The copier will have the facility to enlarge or reduce an image to your desired size.

2 IN 1, 4 IN 1

This is usually a feature of the higher specification models, the copier has the ability to reduce 2 pages onto 1 or 4 pages onto 1 page.

SOPM:

This feature will scan your document once and store it in the memory for fast and efficient multi-copies of your document.

DUPLEX

Fast 2 sided copies without the need to manually turn the sheet over.

These days photocopiers come in all shapes and sizes- contact an advisor from Principal to help you choose the unit best suited to your needs. In the mean time, here are a few pointers for features you might be interested in.

Footprint

The footprint is simply the amount of space your new photocopier takes up. Home and small office machines fit snugly on the desk; our largest machines are entire print shops-in-a-box and therefore need more room. In a home office, that might be a consideration.

Speed

Different photocopiers print at different speeds. The faster corporate machines can copy at up to 100 pages per minute, manage jobs from many people at once, and can be scheduled to run overnight if necessary. But if you only print out a few pages per day, then speed will be less of a consideration.

Colour or black and white

The price of colour copying has fallen dramatically in recent years, so before you sacrifice colour, ask us about the total cost of owning a colour photocopier- it may be less than you think. Colour does cost a little more, and you may spend more in toner and other consumables, but it’s likely that colour printing is within your business budget- and of course presents a tremendous impression.

Toner consumption

Again, great advances have been made in toner consumption- the latest machines are highly economical and don’t guzzle cartridges. We never forget that your business depends on economy, and we will give you an honest appraisal of the “real” cost of owning any piece of equipment.

Print, Scan and Fax

Depending on your other office systems, we offer a range of photocopiers which also offer print, scan and fax functions. For smaller offices, combined machines are highly economical and have a neater footprint. Some brands offer a “modular” system, whereby you can pick which elements you want.

Finishing

Networking

If more than one person is using the photocopier, then consider a networked copier, which will not only hook up to several people at once, but will include sufficient memory to handle multiple jobs.

Maintenance and Usability

Some photocopiers contain simple, “all-in-one” cartridges. These are very easy to maintain yourself. Larger machines for departmental or industrial use are offered with maintenance agreements, which are equally no-hassle. We also can’t over-emphasise usability. Corded Telephones

Basic telephone that is used in a fixed position and cannot be transported. Features and price will vary through models. It is more than likely that the higher priced models have the most features.

Analogue Cordless

DECT

What does the Technology Mean?

Caller Display

Usually a feature that requires a separate quarterly fee payable through your network provider. Allows you to see who is calling before answering the call. This can either be through your handset or separate caller display units are available.

Handsfree

Allows you to make and receive calls without using the handset. This may use speakerphone technology or require a hands-free kit similar to the one used on mobile phones.

BT Accessories

Expandable

Link a number of additional handsets to one base station to have a complete phone system without the need for additional wiring.

Remote Access

Inkjet Printer

PPM

DPI

USB or Parallel

For connecting your PC to your printer or MFC device via a cable.

USB interface

For faster and easier connection to your PC, enabling your printer or MFC device to work faster.

Photoquality

When used with high quality paper, printers with a higher DPI will give excellent photograph reproduction.

Card Reader Slot

Some devices allow you to access your digital photography faster and more easily directly from your media or memory card (the card you use in your digital camera or camcorder to store your photographs).

ADF

Loads multiple pages of documents into the ADF to fax or copy. No need to stand around feeding one page at a time.

Before buying an…Office Chair

Every day you may spend hours sitting in your chair. The more suited the chair is to you the better. Its design will affect the way you work, how long you can stay seated and more importantly the way you feel!

Usage

When choosing an office chair, consider how long you will spend in it at any one time and the total length of time every day. Look for comfort, adjustability and finish. Modern office chairs cater for a wide range of uses — from typists and operators chairs to executive leather chairs. All are designed with a particular purpose in mind…

Maintaining the Correct Posture

  • Always sit with the knees lower than the hips.
  • Ensure that you are not stretching to reach your keyboard and mouse. Move in closer to the desk or re-arrange your desktop if necessary.
  • Sit with your eyes at least 25cm away from your monitor. Preferably have your monitor positioned at eye level. If this isn’t possible tilt the top of the monitor so that it is slightly further back than the bottom.
  • Always maintain a good posture whilst seated, try not to slump into the chair. If you find yourself slumping, have a break and walk around the office to invigorate your muscles.
  • Never stay seated for extended periods. Get up and walk around for at least 5 minutes in every hour.

Prevention is better than cure

Always research well and choose the right chair for the job. Back problems significantly affect productivity at work and can be easily avoided by choosing the right equipment.

If you’re choosing a chair for an individual, consult with them when making the choice. If the chair is to be shared, make sure it is fully adjustable to suit all users.

Finally…

Remember to check that the chair you buy is compliant with the rules and regulations applicable to your company and the building you work in. For example, always check if you require fire retardant furniture and furnishings in your office.
